VAT you could claim back on your bills

Most everyday business bills include 20% VAT, which a VAT-registered business can claim back. Some, like insurance, stamps, rates and wages, have none to reclaim.

Premises

What you pay a month, as on the invoice.

Does your landlord charge VAT on rent?

Rent is usually VAT-free, unless your landlord has chosen to charge VAT (opted to tax). Your rent invoice shows it. If you're not sure, we'll assume no VAT.

Rates paid to the council have no VAT.

Both bills together, a month, including VAT.

VAT rate on your energy bills

Businesses usually pay 20%, but small amounts are charged 5%: up to 1,000 kWh of electricity or 4,397 kWh of gas a month. Your bill shows the rate. If you're not sure, we'll use 5%.

Insurance has no VAT. The Insurance Premium Tax on it can't be reclaimed.

Running costs

Business lines, mobiles and broadband in the business's name.

Accountants, solicitors and other advisers.

Accounting software, apps and online services. Check overseas ones show UK VAT.

Paper, ink, small equipment and the like.

First and second class stamps and other standard Royal Mail postage have no VAT.

Couriers and other delivery firms charge 20% VAT.

Travel and people

Fuel for business vehicles. If the business also pays for private trips, you'll pay a fuel scale charge or reclaim only the business share.

These are 0% VAT, so there's none to reclaim. If a taxi receipt shows VAT, add it to fuel.

Staff meals, parties and team events. Restaurant meals, hot food and catering are 20%; cold food from a shop is usually 0%, so leave it out. Leave out entertaining customers or suppliers too: that VAT can't be reclaimed.

Wages, PAYE and National Insurance have no VAT.

How it’s worked out

For each bill we work out a year's cost (the monthly bill × 12) and the VAT inside it: 1/6 of the bill at 20%, and 1/21 at 5% (the VAT fraction).

Rent has no VAT unless your landlord has opted to tax. Insurance and Royal Mail stamps are VAT-free (exempt), train fares are 0%, and business rates and wages are outside VAT, so there's nothing to reclaim on them.

You can only reclaim VAT if you're VAT-registered. You must register once your sales over the last 12 months pass £90,000, and you can choose to register before then. Registering means charging VAT on your sales too.

Worked example

If your business is VAT-registered, you could reclaim £3,780.00 a year of the VAT on these bills.

Bills for the business only · all your sales taxable · rent with VAT · energy at 20% · standard VAT accounting, not the Flat Rate Scheme

Questions people ask

Should I register for VAT if I'm under £90,000?

It can pay if your customers are VAT-registered businesses, because they can reclaim the VAT you charge them. If you sell mostly to the public, adding VAT to your prices, or absorbing it, usually costs more than the VAT you'd reclaim.

Can I reclaim VAT on bills from before I registered?

Usually, yes: VAT on goods you still have that you bought in the 4 years before registering, and on services from the 6 months before. Services such as rent and phones count only for those 6 months.

What if I use the Flat Rate Scheme?

On the Flat Rate Scheme you pay a fixed percentage of your sales and can't reclaim VAT on your bills, except on some equipment costing over £2,000.
